Art Prize Terms and Conditions

Graceville Art Prize, The Heart Prize, and The Inclusive Photography Prize

  1. General Conditions

1.1. By entering the Graceville Art Prize, The Heart Prize, or The Inclusive Photography Prize ("the Prizes"), all entrants agree to be bound by these Terms and Conditions.
1.2. The Prizes are non-acquisitive, meaning the artist retains ownership of their work.
1.3. Entries must be submitted by September 1st, 2025, at 10:00 AM (AEST). Late submissions will not be accepted.
1.4. The competition is open to all artists, with no restrictions on age, nationality, or professional status.
1.5. Entries must be the original work of the artist and must not infringe upon any copyright or intellectual property rights.
1.6. Artists may submit multiple entries.
1.7. Employees and direct family members of the judging panel and organizing committee are ineligible to receive prizes.
1.8. The Graceville Art Festival exhibition will take place at St Luke’s Lutheran Church, 10 Sydney Street, Nambour QLD 4560.
1.9. The Graceville Art Festival will take place between 8th October 2025 to 12th October 2025 inclusively.

  1. Graceville Art Prize

2.1. The Graceville Art Prize is awarded to an artist whose artwork strongly embodies the theme ‘Earth, Sky, Sea, Me’ and conveys a lived experience of mental health and/or disability.
2.2. The winner is selected by a panel of judges appointed by the Graceville Art Festival.
2.3. The prize includes a monetary award of $2,000.
2.4. The decision of the judges is final, and no correspondence will be entered into regarding the selection process.

  1. The Heart Prize

3.1. The Heart Prize is awarded to the artist whose work is chosen by the packing room staff as their favourite piece of the festival.
3.2. The winner will receive:

  • A non-financial 1-month residency at Graceville Centre to create a commissioned piece inspired by the Centre.
  • An artist supply voucher to support the creation of new works.
  • A feature interview at the Graceville Art Festival.

3.3. The selection of the winning artwork is at the sole discretion of the packing room crew, and their decision is final. No correspondence will be entered into regarding the selection process.

  1. The Inclusive Photography Prize

4.1. The Inclusive Photography Prize is open to all photographic submissions.
4.2. Photographs may be digitally altered; however, Artificial Intelligence (AI) applications/programs must not be used in any capacity.
4.3. The winner is selected by a judging panel member with Photography expertise.
4.4. The prize includes a monetary award of $700, sponsored by My Supports.
4.5. The judges’ decision is final, and no correspondence will be entered into regarding the selection process.

  1. Submission Requirements

5.1. All entries must be submitted via the official submission portal or as directed by the Graceville Art Festival.
5.2. All artworks must be accompanied by an artist statement (maximum 200 words) explaining the work and how it aligns with the relevant Prize category. This is achieved by submission online.
5.3. Digital artworks and photography entries must be submitted in high-resolution format (JPEG, PNG, or TIFF).
5.4. Physical artworks, if shortlisted, may need to be delivered to the exhibition space at the artist's expense.
5.5. All artworks must have a copy of the submission form attached to the back of the artwork - either glued or sticky-taped.
5.6. All artworks must have the artists full name and contact phone number written on the back of the artwork. Where the submitted artwork is not a painting or photography, the artist’s name and contact phone number must be attached on removable masking tape.
5.7 All artworks intended (by the artist) for hanging display must have a way of being mounted. This is the sole responsibility of the artist. The Graceville Art Festival committee will provide all additional hooks for the purpose of facilitating displaying of artwork.
5.8. If artworks intended (by the artist) for hanging display do not have a way of being mounted, the Graceville Art Festival committee reserve the right to not display the pieces of art. No further communication will be entered into regarding this decision.5.9. All online artwork submission files must not exceed 3mb.
5.10. It is the artist’s sole responsibility to complete an ATO Supplier Statement form. This form is accessible through the Graceville Art Festival online submission webform. Graceville Art Festival does not accept any responsibility for artists’ completion of the ATO Supplier Statement form.
5.11. It is the sole responsibility of the artist to select the ‘Opt Out’ option, in the process of completing the artwork submission form, if the artist does not intend to display artwork for the purposes of inclusion in the Graceville Art Prizes. The Graceville Art Festival committee does not accept responsibility for including artwork in the Graceville Art Prize exhibition space of the Graceville Art Festival exhibitions, in the event the artist does not ‘Opt Out’ in mistake. Mistaken is taken to mean misapprehension, unintended omission or misunderstanding.
5.12. Relating to condition 5.10, for artworks included in the Art Prize exhibition by mistake, once the mistake is unilateral, meaning one party is aware the ‘Opt Out’ mistake has been made, it is the responsibility of the artist to communicate the mistake to the Graceville Art Festival committee. The Graceville Art Festival accepts no responsibility to discover the mistake.  The Graceville Art Festival committee agrees that the artwork included by mistake, will be removed from the prize exhibition, as early as practicable in the circumstances.
5.13. Relating to condition 5.10, for artworks opted OUT by mistake ( by the artist), the Graceville Art Festival agrees to amend the selection and change the selection to Opt IN, at the request of the artist, if the request is communicated in writing (sent)  before September 1st 2025.
5.14. Art weight restrictions do not apply however the Graceville Art Festival reserves the right to refuse exhibition of an artwork if the artwork is deemed unsafe to handle by the Graceville Art Festival packing crew. No further communication will be entered into regarding this, with the artist.
5.15. The Graceville Art Festival accepts all submissions that have been entered into other art competitions and or prizes/ exhibitions previously, excluding any historic submissions for the Graceville Art Festival.

  1. Exhibition and Rights

6.1. Shortlisted artworks may be exhibited at the Graceville Art Festival.
6.2. By entering, artists grant the festival organisers the right to photograph and use images of their submitted artworks for promotional and archival purposes, without additional compensation.
6.3. Winners may be requested to participate in media interviews and promotional events related to the festival.
6.4. It is the sole responsibility of the artist to obtain and retain express consent for artworks produced representing a person’s likeness (example a portrait of a living person requires the consent of the person whose likeness is represented in the artwork). The Graceville Art Festival accepts no responsibility for confirming or verifying the express consent.
6.5. Relating to condition 6.4, if a portrait is made in the likeness of a deceased person, express consent must be obtained by the artist from the representative of the deceased person’s estate. The Graceville Art Festival accepts no responsibility for confirming or verifying the express consent.
6.6. Images, names, references, and or representations of deceased First Nations elders and First Nations Peoples may occur at the Graceville Art Festival Exhibitions. The Graceville Art Festival agrees to state a sensitivity warning on the finalists gallery website for the anticipation of such images, names, references and representation.
6.7. All artists will retain the copyright of their original works.
6.8. Exhibited artworks that are not sold, must be collected from St Luke's Church at 10 Sydney St, Nambour 11am to 2pm on Monday 13th October.  Or from Graceville Centre Reception, 5 Sydney St, Nambour (across the road from the Church) Tuesday 14 to Friday 17 October between 8am-4pm. This is the sole responsibility of the artists or the artist’s nominated contact/company for artwork collection.
6.9. The Graceville Art Festival reserves the right to cancel or postpone the Graceville Art Festival in the event of financial crisis, natural disaster, personal safety or weather crisis.
6.10. All artists reserve the right to nominate their artwork for sale. It is the sole responsibility of the artist to accurately indicate this intention through the Art Submission webform. The Graceville Art Festival accepts no responsibility if an artist nominates ( using the webform)  to sell an artwork in mistake.
6.11. Relating to Condition 6.10, if an artist nominates an artwork for sale, in mistake, the Graceville Art Festival will assist in amending the nomination to ‘not for sale’, if the artist provides written communication to the Graceville Art Festival, of the mistake before October 8th, 2025.
6.12. The Graceville Centre will accept 10% commission on all sales of artworks nominated for sale. The commission will be deducted from any payments owing to the artist for the artists’ sold works from the event.6.13. Payment for sold works will be processed into the artist’s nominated bank account within 3 weeks of the event ending, with a deduction of 10% commission.
6.14. It is the responsibility of the artist to provide accurate bank account details when submission of artwork is made. Bank details must be provided through the artwork submission webform, including: Account name, Bank name, BSB number, Bank Account Number.
6.15. It is the sole responsibility of the artist to ensure all bank account details provided by the artist are accurate. The Graceville Art Festival accepts no responsibility for incorrect banking details provided by the artist. The Graceville Art Festival will not reverse any payments to incorrect bank accounts. Incorrect banking details will result in no payment being received by the artist.

  1. Disqualification and Liability

7.1. The organizers reserve the right to disqualify any entry that does not comply with these Terms and Conditions.
7.2. The organizers accept no responsibility for loss or damage to artworks during transit or exhibition.
7.3. The artist is responsible for ensuring their work is available for exhibition if required.
7.4. If unforeseen circumstances prevent the awarding of any prize, the organizers reserve the right to amend, substitute, or cancel the prize at their discretion.
7.5. The artist assumes full responsibility to secure insurance for their artwork if the artist chooses to do so. The Graceville Art Festival accepts no responsibility to insure artworks.
7.6. Relating to Condition 6.8, if an artwork is not collected by the artist or nominated person/company by the date stated in Condition 6.8, the Graceville Art Festival reserves the right to remove the artwork from the Graceville Centre and from St Luke’s Lutheran Church. The Graceville Art Festival accepts no responsibility to store artworks after the date stated in Condition 6.8. All artists accept the risk that artworks may be destroyed if not collected by the date stated in Condition 6.8.

  1. Acceptance of Terms.

9.1. The Graceville Art Festival organisers reserve the right to amend these Terms and Conditions at any time. Any changes to Terms and Conditions will be communicated through the Graceville Art Festival website. It is the artist’s responsibility to review these Terms and Conditions periodically for any updates made.
9.2. By submitting an entry to the Graceville Art Festival, the artist acknowledges that they have read, understand, and agree to be bound by these Terms and Conditions.
